Online Scheduling: When to create additional Availability Schedules

Learn when to create more than one Availability Schedule instead of adding additional Services to one Schedule.

The Online Scheduling tool (OS) will allow your contacts to easily schedule an appointment, consultation, event, session, etc. all with a few clicks of a button. 

Contacts will be able to book an appointment using the link provided through an email, or you can embed your schedule to your website. Once your customer selects their preferred date, they’ll get a confirmation email and you can even trigger a workflow to further automate your client experience. 

To get started, you first need to create a Service. If you haven't done that yet, click here. Once you've created a Service, you can build your Availability Schedule which outlines when people can book an appointment with you. 

But how do you know if you should add all your Services to one Availability Schedule or create specific Schedules for each Service?

You will want to add more than one Services into one Availability Schedule if both Services can be booked during the same time-frames. 

You would want to create separate Availability Schedules if:

  1. The services can ONLY be booked on specific days.
    For example, Service 1 can ONLY be booked on Mondays, Wednesdays, or Fridays and Service 2 can ONLY be booked on Tuesdays and Thursdays.

    Since you do not want to allow people to Service 1 on a Tuesday or Thursday, you will want to have two availability schedules so you can outline the specific availability rules for each services. 

  2. You have Users who are available at different times.
    Even if your Service is available during the same time-frame for all users, say Monday-Friday 9am-4pm, you will want to create separate Availability Schedules so they can cross-check the appropriate Users calendars.

    This allows all available times to show for that User without limiting openings due to other events scheduled on a different Users calendar. 

  3. Change in Locations
    If one service is a one location and another service is at a different location you might want to create different Availability Schedules for each.
