WHAT IS ONLINE SCHEDULING GROUPS

Groups is a part of Online Scheduling and is available for our Premier and Founding members and those who have purchased the Advanced Online Scheduling module.

17hats Online Scheduling Groups allow for multiple bookings in one "time slot." This functionality is great for any profession looking to schedule a group of people.

SETTING UP A GROUP SERVICE

Service Type

Online Scheduling Services now have two types: Individual and Group. When creating your Online Scheduling Service, you will need to select Group Type.

Number of Bookings per Time Slot

Because the Service is a "Group" type, you can choose the Number of Bookings per time slot. This number refers to the maximum number of people you wish to book per time slot.

What is a Time Slot:
A time slot is the length of the Online Scheduling Service (plus buffer times, if you have them) shown when someone moves through the booking flow.

For the service below, there are 7 time slots open for Oct 16th:

  • 10:30 am, 11 am, 11:30 am, 12 pm, 12:30 pm, 1 pm, and 1:30 pm.

Service Settings

The rest of the Online Scheduling Service Settings stay the same as an Individual Service.

ProTip: If you are booking a medium to large group, we highly suggest creating a Groups Calendar in 17hats to put all your bookings on.

Manually adding the event to your main bookings calendar while holding all your individual events on a different calendar allows you calendars to be more organized.


SETTING UP A GROUP AVAILABILITY SCHEDULE

Team Members

When using Online Scheduling with team members, there are a few things to note:


If you have multiple team members available for booking, each team member will be able to book out their own slots.

Example: If team member A is booked for 9:30 am. 9:30 am will still show for team member B. Once Team Member B is booked, the time slot will no longer be visible.

Each team member will have the number of slots determined by the service.

Example: If the Service allows up to four bookings per time slot and two team members offer the Service, each team member will be able to book four bookings per time slot, totaling eight for the timeframe.

For example:

Team member A can book four people at 9 am

Team member B can book four additional people at 9 am

Booking Limitations

Within Booking Limitations, you can set a maximum number of bookings per day and per week. If the limits are two per day and four per week with a service that allows 5 bookings per time slot, then:

  • Once there are two time slots booked for that day:

    • no other time slots will be available for booking.

    • the two time slots will remain open for booking until all five bookings per time slot are completed.

  • Once there are four time slots booked for that week, then

    • no other time slots will be available for booking.

    • the four time slots will remain open for booking until all five bookings per time slot are filled.

Multi Users and Booking Limitations

If you have two users and a booking limitation of two per day and four per week with a service that allows five bookings per time slot then:

  • Once there are two time slots REGARDLESS OF WHICH USER IS BOOKED for that day:

    • no other time slots will be available for booking.

    • the two time slots will remain open for booking until all five bookings per time slot are completed.

Example: If User A is booked at 2pm and User B is booked at 4 pm, the limitation of two per day has been met.
