When creating your Availability Schedule for Online Scheduling, it is import to set up calendar check for ensure you do not double book yourself.
HOW IT WORKS
By setting up Calendar Checks the technology will look at all your events on your calendars (17hats and Google) and remove already booked times from your Online Scheduling Calendar.
From your 17hats and Google Calendars, we will cross check against all Events. We will not cross check against to dos.
Example: You have a 7 day vacation booked on your personal calendar. If you cross check that calendar, those booking days and times will not be available for someone to book with you. If you DO NOT cross check your personal calendar, contacts will be able to book at the same time as you vacation. |
Choose Calendar(s) to Cross Check
Here at 17hats we recommend the creation of 5 different calendars:
Booked Calendar - all your booked events
Leads Calendar - events from leads
To Do - all to dos either manually added or added via Workflow
Pending - If you use the Pending Approval setting on Online Scheduling, we recommend all those booking go to its own calendar.
Personal - all personal events, appointments, and family events
We recommend cross checking all calendars with the exception of your to do calendar.
ProTip: While to dos will not be cross checked against, some members like to create Events for big to do projects. This allow them to block off a chuck of time. |
By cross checking these calendars, the tech will remove dates and times that are not available based on the calendars. This ensures you do not double book yourself.
Calendar(s) to Cross Check + Multi Users
If you have multiple users on your 17hats Brand, and have enabled them within the Team Member section of your Availability Schedule, then you will be able to cross check their 17hats Calendar as well.
Override The Following Availability Schedules
This feature gives a hierarchy to your Availability Schedules.
Let's look at an example:
โAvailability Schedule A: Service is a consult that runs Monday - Friday and it repeats each week with no end date.
Availability Schedule B: Service is a monthly feedback session that only occurs the first Thursday of each month.
Override Setting: On Schedule B I override Schedule A. The result is the first Thursday from Schedule B will not be available to book on Schedule A ensuring you are free for bookings.
MULTIPLE SERVICES ON ONE AVAILABILITY SCHEDULE
If you are offering multiple services on one Availability Schedule it is critical to cross check all calendars used in each service to ensure you are not double booking yourself.
Example
If you have two services, Consultation Phone Call and Feedback Zoom Call, on one Availability Schedule. And, each service has a different calendar for the To Be Approve Calendar and the Confirmation Calendar.

Then you will need to cross check all four calendars on the Availability Schedule to ensure you are not double booking.
