Learn how to setup your Confirmation and Cancellation Settings for Online Scheduling Services

Ensure communication to your new booking by setting up your Confirmation and & Cancellation Settings in your Online Scheduling Service.

HOW IT WORKS

When a booking is confirmed, the setting in this area will kick into play. While most booking are instantly confirmed the moment of booking, service with Approval Settings enables are considered pending until you have confirmed them. Once you have confirmed them, the setting in this section will be triggered.

Calendar

The calendar selection is a required filled. Your default calendar will automatically be selected, however you can change to any calendar you wish, 17hats or Google Calendar

This calendar designates the place the booking event will be placed on. If the a new Project is created with the booking, the Project will be placed on that calendar as well.

If the booking event is added to an existing Project and a calendar is selected for that Project, the Project will NOT update to this selected calendar. Only the booking event will be placed on the calendar.

Workflow

Once a booking is confirmed, you can trigger a Workflow to keep your client experience running smoothly.

Like all settings, you can add the Workflow upon creation, or come back and edit the service later.

Automatic Confirmation Email

While the Confirmation Email is not a required setting, we highly recommend adding one. This email will send immediately upon booking (if Approval Settings are not enabled).

Tokens

We suggest adding Scheduling Tokens to the email to populate the Service Name, Date, Time, and location information of the booking.

Tokens are placeholder that will automatically be updated with data from the Contact, Project, Account, and other features. For emails sent form inside of Online Scheduling, you will want to use the [scheduling] type tokens.

Cancellation Email

Create/select a template to be sent to your contact when they cancel a booking. While you can set up cancellation limitation when you create your Availability Schedule, you can create a different email template per service.

We suggest adding [scheduling] tokens to the body of the email as seen below.
Cancellation emails are created into template so that they can be reused in different services.

Rescheduling Link

Steps to adding the rescheduling link:

  1. Create your Availability Schedule

  2. Copy the URL for the Availability Schedule

  3. Edit your Cancellation Email Template

  4. Add copied link to the template
