Event Type Email allows you to confirm and remind your Contact about a specific event without typing the details yourself. With new Event Tokens — event date, event start time, event end time, and event location — the email fills in the details from the event it is attached to.
This is built for the way you already work. Your Project may already have a project date, but the job usually includes more than one event: a consult, a prep call, a walkthrough, a post-event meeting. Event Emails cover those extra events so every confirmation and reminder pulls the right date, time, and location.
The payoff is simple. Less copying and pasting, fewer wrong times in client emails, and one Workflow you can reuse on every event you book.
Before you get started
A few things to know before you build:
Event Tokens only work in Event Type Email templates. They will not populate in a Regular Email or a document email type.
Event Emails should only be used in a Workflow, and that Workflow must be attached to the event. If you apply the Workflow to the Project any other way, the Event Tokens will not populate.
You need an event on the Project to attach the Workflow to.
Event Tokens pull from the specific event connected to the Workflow — not from your Project date.
Step 1: Create your Event Email template
Build a separate email template for each message you want to send. Most members start with two: a confirmation that goes out when the event is booked, and a reminder that goes out before the event.
Head to Account Settings > Templates > Documents & Emails to create a new email template, and set the email type to Event Email. You can review or confirm any template's type from this same page.
Step 2: Add your Event Tokens
Write your message, then drop the details in with tokens. Use the Insert Token dropdown on the editor bar and choose from the Event Tokens:
Event date
Event start time
Event end time
Event location
To use a token in the subject line, select the event token from the subject line token selection.
A confirmation might read: "You're all set. We'll see you on [event date] at [event start time] at [event location]." When the email sends, those tokens fill in from the connected event.
Step 3: Add the Event Email to a Workflow
Create a new Workflow Template and add an email Action Step for each Event Email you created. Order the Action Steps the way you want the client to receive them — confirmation first, reminder closer to the event.
Step 4: Attach the Workflow to your event
This is the step that makes the tokens work. Go to the Project, from the Event section, open the event, and select your Workflow in the event dialog.
Once the Workflow is attached to the event, every Event Token in those emails points to that event's date, time, and location.

FAQs
My Event Tokens came through blank. What happened?
Two common causes. First, check the template's email type — only Event Emails can use Event Tokens. Second, check how the Workflow was applied. The Workflow must be attached to the event itself. If it was added to the Project another way, the tokens will not populate.
What if I reschedule the event after the Workflow starts?
The tokens use the event's latest information. If the event is updated or rescheduled before the email sends, the email goes out with the new details.
What if I delete the event before the email sends?
The email still sends, but the Event Token values will be blank. If you no longer want the workflow to run because the event is cancelled, you can click into the Workflow and pause it.
How are Event Tokens different from Project date tokens?
Project tokens pull from the Project event. Event Tokens pull from the specific event the Workflow is attached to — which is what makes them useful for consults, prep calls, and post-event meetings that sit alongside the project date.
Can I use Event Tokens in a Regular Email?
