Start/Stop Workflow Automation

You can now automatically start or stop a Workflow by applying a Project Tag.

This allows you to trigger automation based on client behavior in Lead Capture Forms, Questionnaires, Online Scheduling, as well as your process within Workflow steps — without the need to manually start or pause Workflows.


How It Works

Workflows can be automatically started or stopped by applying:

  • Start Tags – When this tag is added to a Project, the Workflow is automatically triggered.

  • Stop Tags – When this tag is added to a Project, the Workflow pauses automatically.

You can add multiple Start or Stop Tags to a single Workflow.


Setting Up Start and Stop Tags

  1. Go to Workflows → Templates.

  2. Open the Workflow you’d like to edit.

  3. Toggle the “Start/Stop Automation” to on

  4. Add the Tags you would like to use to Start and/or Stop the Workflow.

  5. On the Workflows → Templates view, if a Workflow has Start and/or Stop Tags, you may see the Tags by hovering over the word in the Start/Stop column.



How Project Tags Can Be Applied

Project Tags can be applied in a variety of different ways throughout the platform. No matter who you add the Tag, the Start/Stop Automation will run.

Manually Applied

  • Directly from an existing Project

  • Upon creation of a new project

  • Bulk Action on the Project Page

Automatically Applied:

  • Lead Capture Forms

    • Settings of the Lead Capture Form

    • “Choose One” question

    • Lead Source question

  • Online Scheduling

    • Project/Approval/Cancellation Settings

    • “Choose One” question
      “Lead Source” question

  • Questionnaire

    • “Choose One” question

  • Workflow Steps

    • Within a Workflow step

    • Stand-alone Tag Action Step


Important Behaviors & FAQs

If I remove and re-add a Start Tag, what happens?

If a Start Tag is:

  • Added → Then removed → Then added again

A new version of that Workflow will start when the start tag is applied the second time; but only if the initial triggered Workflow is Paused or Completed.

This is especially useful for:

  • Reminder Workflows

  • Meeting follow-ups

  • Document completion reminders

Each time the start tag is re-added to a Project, a new Workflow instance begins, but only if the first start workflow is completed or paused.


What happens if a Tag is added from an Online Scheduling Service that requires approval?

If a Project Tag is automatically added based on a “Choose One” or Lead Source Online Scheduling question, the Workflow will begin immediately — even if the scheduled service requires your approval.

The Workflow does not wait for Booking approval.


What happens when a Stop Tag is applied?

When a Stop Tag is added:

  • The Workflow is automatically paused

  • No future steps will be triggered

  • You can manually resume the Workflow at any time


Do I need to remove the start tag?

You do not need to remove the start tag unless you want to manually trigger a Start Automation a second time.

If you manually (edit Project) want to trigger the Start Automation for a second time, you will need to remove the Start Tag > Save the Project > Then add the Start Tag Again > Save the Project. But remember, the initial duplicate Workflow must be completed or paused.


What happens if I add a Start Tag more than once?

You can only trigger one instance of the start automation at a time. For example: If you trigger a Start automation from a Lead Capture Form, the Workflow will start automatically.

Then you have that same tag applied from a Questionnaire ‘Choose One’ question. The Start Automation will not trigger from the Questionnaire question, because you have one instance active.

Once the Active Workflow is paused or completed, the next newly applied start tag will trigger the Start Automation.
