How to Pause and Resume a Workflow

You can pause an active Workflow at any time. Pausing a Workflow stops future steps from triggering while preserving the Workflow and its progress. This is helpful when a Project is temporarily on hold.

How to Pause a Workflow

You can pause a Workflow in two places:

Option 1: From the Workflow

  1. Open the Project.

  2. Open the active Workflow.

  3. Click Edit.

  4. Select Pause Workflow.

Option 2: From the Active Workflows Tab

  1. Go to the Workflows tab.

  2. Open the Active Workflows view.

  3. Locate the Workflow.

  4. Click to pause.

Once paused, the Workflow will stop progressing until it is resumed.


What Happens When a Workflow Is Paused

When you pause a Workflow:

  • Future Workflow steps will not trigger.

  • Automatic emails and documents will not send.

  • Dashboard Workflow/to-do notifications are removed.

  • Calendar page to-dos are removed.

  • The Workflow moves to the Paused Workflows view (this view only appears if you have paused Workflows).

  • You may edit or delete steps on a Paused Workflow, but you may not add new steps.

The Workflow remains intact and can be resumed at any time.


Archiving a Project

If a Project is archived, any active Workflows within that Project will automatically be paused.

If the Project is later unarchived, Workflows must be manually resumed. They will not automatically restart.


How to Resume a Workflow

To resume a paused Workflow:

  1. Go to the Project or the Paused Workflows view.

  2. Open the Workflow.

  3. Click Resume Workflow.

The Workflow will continue from where it left off.


Timing of Automatic Emails & Documents After Resuming

When a Workflow is resumed, any steps set to automatically send will follow the 10:00 AM send schedule:

  • If resumed before 10:00 AM, automatic emails/documents will be sent at 10:00 AM the same day.

  • If resumed after 10:00 AM, they will send at 10:00 AM the next day.

Example:

  • Resume at 7:00 AM β†’ steps trigger at 10:00 AM that morning.

  • Resume at 1:00 PM β†’ steps trigger at 10:00 AM the next day.


Frequently Asked Questions

Does pausing delete any steps?
No. All steps remain in place and will continue once resumed.

Will clients receive anything while a Workflow is paused?
No. Automatic sends are paused until the Workflow is resumed.

Will reminders and to-dos still show on my Dashboard or Calendar?
No. Pausing removes associated Dashboard notifications and Calendar to-dos.
